Under direction of the department manager, is responsible for referring to and following program guidelines, insurance verification, all scheduling and coordinating for multiple offices and pre-registering patients for services. Acts as the first point of contact
for the office and creates a positive first impression about the practice.
Essential Functions and Responsibilities:
Reviews patient eligibility for Annual Wellness Visit (AWV) from Medicare.
Contacts patients and offers/explains AWV appointment.
Schedules, coordinates, and reschedules patient appointments in an efficient and timely manner.
Maintains and updates current information on provider’s schedules ensuring that patients are scheduled properly, appointments are confirmed and the schedule is kept full.
Updates demographics on all patients.
Answers telephone in a polite, prompt, helpful manner. Routes calls to appropriate staff, takes messages, returns calls, and provides information to others as requested/directed.
Answers questions regarding patient appointments and related items.
Ensures positive customer service atmosphere and interactions at all times.
Performs various clerical duties such as photocopying, typing, filing, etc.
Maintains strict confidentiality related to medical records and other patient data.
Tracks productivity and reports to manager scheduling status.
Other job duties as assigned.
• High School Diploma or equivalent
• Minimum of 2 years scheduling experience
• Knowledgeable in all functions of registration, medical records, data entry, insurance verification and scheduling
• Excellent communication skills.
• Ability to converse in a clear, pleasant, and professional manner via phone or by written correspondence.
• Working knowledge of computer software including Microsoft Excel, Word and Outlook.
• Knowledge of CPT and ICD-9 codes and Medical Terminology
Position Specific Expectations:
Knowledge of patient scheduling tasks and medical office procedures.

Knowledge of provider schedules/scheduling preferences.
Knowledge of PMS and EMR (Allscripts preferred.)
Knowledge of grammar, spelling, and punctuation.

Skill in handling paperwork/filing adequately.
Skill in answering the telephone in a pleasant and helpful manner.
Skill in written and verbal communication.
Ability to establish and maintain effective working relationships with staff, patients, public, external agencies.
