Overview of the Unit: Fast Forward Medical Innovation (FFMI) is a unit within the Medical School Office of Research (OoR) that supports medical innovation at the University of Michigan Medical School, nurturing commercialization, entrepreneurship and industry partnerships with the ultimate goal of translating research more quickly and getting more products to market sooner where they can have a greater impact on patients. Led by Connie Chang, M.B.A., Interim Executive Director, Fast Forward Medical Innovation offers a holistic approach to biomedical innovation at the University of Michigan, including:
Accelerating innovation and commercialization of research from idea to impact for devices, diagnostics, therapeutics, and health information technology.
Collaborating with commercial partners via novel partnership models to diversify the research funding portfolio to Medical School researchers.
Enhancing medical education by inclusion of innovation, commercialization and entrepreneurship at all levels.
Partnering with collaboration units, institutions and other entities both inside and outside the University to drive biomedical innovation and contribute to the overall innovation ecosystem of the region.
Basic Function and Responsibility: The FFMI Administrative Specialist is a full member of the team, reporting to the Interim Executive Director of the team. The Administrative Specialist provides general administrative support to the team with a strong, customer-focused and can-do attitude. In addition, the Administrative Specialist will be expected to work independently on specific, business-critical projects related to team project management.
Because of the externally-facing nature of the team it will be important that the team Administrative Specialist exercises considerable discretion and independent judgment. S/he must be capable of analyzing complex information requests, determining complex trends and paths forward, and problem-solving to a good result. Multi-tasking will be a day-to-day reality. S/he will many times be the first point of contact for both internal and external customers wishing to engage the team, so a customer-service approach to work will be a key to success. S/he will need to demonstrate the ability to make independent judgments on specific project management related activities.
Characteristic Duties and Responsibilities:
Provide administrative support to members of the FFMI team including:
Calendar management for the Executive Director and Commercialization Education subteam members (or other team members, as needed).
Meeting room management for team meetings and events.
Serve as first-line customer contacts (team phone, email).
Travel and expense reports for the Executive Director and Commercialization Education subteam members (or other team members, as needed).
Full responsibility for FFMI Team budget and accounting:
Manage status of multiple project accounts.
Execute monthly team budget reconciliation.
Maintain an updated view of the overall team financials (Profit/Loss).
Effectively manage FFMI team annual budget process and annual forecasting.
Project planning, logistics and other support of key FFMI work such as:
FFMI Commercialization Education CME series: monthly education program for all learners to find out more about commercialization.
Planning for key external partner visits, event and agenda management.
Work with diverse U-M departments and external partners to help plan for external customer visits.
Develop, track and manage agenda development.
Manage meeting logistics, room arrangements, travel.
Keep central files and database of contacts for key faculty, vendors and agencies.
Provide team support related to tracking and facilitating the contract submission and review process. Will require close collaboration with multiple stakeholders including faculty department/division administrators, ORSP, and external sponsors.
Related Duties and Responsibilities:
Strong understanding of FFMI team capabilities, resources and connections.
Maintain a working knowledge of University faculty and support staff.
Direct supervision is received from the Executive Director of FFMI. Day-to-day, the person in this role will analyze, compare and evaluate various courses of action and have the authority to make independent decisions on matters of significance, free from immediate direction within the scope of their responsibilities.
College degree or associate's degree in business/accounting discipline.
Minimum of five years of work experience in senior administrative assistant role.
Experience in customer-focused functions.
Strong organizational skills with demonstrated attention to detail.
Familiarity with budgeting and accounting processes.
Self-starter with an ability to set priorities and act both independently and as a team.
Customer-focused with demonstrated ability to interact effectively with a wide variety of people.
Flexibility to meet changing priorities.
Fluency with Microsoft Office (excel, Word, PowerPoint).
